About the Role:

The Systems & User Support Administrative Assistant is essential in supporting the Medicine programme, which serves around 2,600 students. This role involves managing the 1Med system, a critical virtual learning environment (VLE) for students, administrators, academics, and clinical tutors.

Responsibilities include ensuring system availability, managing user accounts, and providing support and training to users. The ideal candidate will have excellent communication skills, a customer-focused attitude, and extensive experience in client support. You should be adept at handling various tasks in a dynamic environment, possess strong IT skills, and be capable of solving complex problems independently. Flexibility, adaptability, and a proactive approach are crucial, along with a commitment to the University's values and policies.

This role will require you to support the production, processing, and analysis of various data. You should feel comfortable using the relevant tools (e.g., Excel, and SPSS) to achieve this. You will have an eye for detail and enjoy using data to improve the student experience.

We especially look forward to applications from individuals who have an advanced understanding of Microsoft 365 and its application to introduce a streamlined and integrated approach to data collection, analysis and reporting.

What You’ll Do:

  • Systems Support: Assist staff and stakeholders in ensuring availability of the 1Med system, logging issues and documenting user requests for new features. Resolve allocated problems where possible and escalate appropriately.
  • User Account and Query Management: Maintain user accounts, including creation and permission management, and provide first-line support via enquiry management systems.
  • Training Support: Assist in organising and delivering training sessions and materials for system users, including NHS collaborators.
  • Administrative Support: Help produce and update system content and documentation, and communicate system processes to both internal and external users.
  • Collaboration and Continuous Improvement: Work with University and NHS colleagues to support the enhancement and implementation of 1Med and associated systems, ensuring audit-readiness and process efficiency.

We're looking for someone who:

  • Has experience in a client support or helpdesk environment, with the ability to manage queries, maintain confidentiality, and resolve problems effectively.
  • Pays close attention to detail, is well-organised, and can manage competing priorities in a busy setting.
  • Is confident using IT systems and Microsoft 365 tools, and ideally has experience with digital platforms in an educational setting.
  • Communicates effectively with a range of stakeholders, including students, academics, and external partners.
  • Is proactive and positive, with the flexibility to adapt in a fast-changing environment.
