Job Description

We are seeking a motivated and collaborative individual to join our team as a Institute Operations Administrator. This role offers an exciting opportunity to provide professional PA/administrative support to the Institute Director, Head of Operations and the Leadership Team of the National Graphene Institute (NGI), with a range of tasks related to operations management, estates, risk, compliance and health and safety provision within a dynamic and inclusive environment.

You will be responsible for

  • Provide a key and supporting role in the coordination of calendars, overseeing agendas and projects, and maintaining/updating records.
  • Raising and monitoring progress of requisitions and invoices, resolving queries throughout the process and ensuring payment is made.
  • To liaise with various teams in estates (food on campus, house services, security) to ensure appropriate requirements in place for large seminar space-based events
  • Provide general administrative support, advice and guidance relating to staff recruitment, appointment and induction.
  • Provide general administrative support, advice and guidance to staff and students ensuring the speedy resolution of their queries by consulting the Head of Operations and departmental operations teams.

About You

Essential Criteria:

  • A well-developed knowledge of the University’s structure and functions.
  • Significant relevant experience of working with administrative processes in a customer-facing office environment, ideally within the HE sectors or other large complex organisation.
  • Experience of supervising staff and coordinate work activities.
  • Experience of servicing committees including minute taking.
  • Demonstrable experience of event management and support.

Desirable Criteria:

  • Experience managing complex, highly formatted data within databases, database-driven applications, or large spreadsheets.
  • Working knowledge of university systems such as iProc etc.
